At Cottage Companion, we're here to simplify and streamline your property maintenance experience. With our app, managing work orders is simple. Follow these practical steps to effectively use the Work Orders feature:

  1. Open the app and navigate to any menu. In the top left corner, you'll spot three lines. Click on them, and select the "Work Orders" menu item.

  2. Look at the screen that appears. You'll see a comprehensive list of all work orders related to your property. Stay organized and in control with this convenient overview.

  3. On the top of the screen, you'll notice a small arrow to the right of "Work Order." Click on it to change the sorting of existing work orders. Choose between options like "added this week," "added last week," or "awaiting quote" to quickly find what you're looking for.

  4. To create a new work order, simply tap on the "+" button located at the top of the Work Orders menu. Instantly, a "New Work Order" screen will be displayed.

  5. On the "New Work Order" screen, you'll find a list of Work Order Types. Click on the option that best matches the services offered by your Property Maintenance Company. Depending on the type you choose, you may also have the opportunity to request a quote for the work.

  6. Provide a brief description of the work that you're requesting. Be concise yet comprehensive, ensuring your needs are clearly communicated.

  7. If you'd like to include an image with your work order, don't worry — we've got you covered. Simply click on the "Image" menu item and follow the prompts. You can take a new photo, select one from your photo library, or even scribble something on your phone if need be.

  8. Select a "Requested by" date for the work order. This allows you to request a timeline for completion, aiding in efficient scheduling.

  9. Consider whether this work request is a one-off or a repeating request. If it's a repeating request, you have the option to enter the frequency, the number of occurrences, or even the last date for your convenience.

  10. Once you've provided all the necessary information, it's time to take action. Click on the "Submit" button to send the work order directly to your Property Maintenance Company.

Mobile - Editing Existing Work Order

To modify an existing work order on the Cottage Companion app, follow these simple steps:

  1. From any menu in the app, locate the three lines in the top left corner. Click on the lines, and select the Work Orders menu item.

  2. You will see a screen with all work orders for your property.

  3. To change how the work orders appear on the screen, you have the option to sort them. On the top of the screen, you'll notice a small arrow to the right of "Work Order". Click on this arrow to open the sorting options. You can select to show work orders added this week, added last week, or those awaiting a quote.

  4. If you want to view the details of a specific work order, simply press the heading of that work order, and you'll see all the relevant information.

  5. From the summary view, you'll notice three horizontal dots on each work order. Click on these dots to access additional options, such as adding a note, editing the work order, or requesting a cancellation. If you're on the detailed page of the work order, you'll have the same selection from the three vertical lines at the top of the menu.

  6. If you choose to add a note, you can provide additional details in the notes area. You also have the option to attach an image by taking a photo, choosing from your gallery, or even scribbling directly on your phone. Once you're done, press submit to ensure that your Property Maintenance Company sees your updated note.

  7. If you choose to edit the work order, for example, to change the request by date or modify it from a one-off to a repeating request, make the necessary changes and then press submit.

  8. Finally, if you need to cancel the work order, you can enter a cancellation comment for the Property Maintenance Company to review before submitting the cancellation request.
